This Privacy Policy explains how Nicola Captures (trading as Nicola Captures) collects and uses your personal data when you use this website or buy from us. We are the "data controller" for the purposes of UK data protection law (UK GDPR and the Data Protection Act 2018).

2. The information we collect
- Order details: your name, email address, phone number (optional), delivery address (for prints), and the items you buy.
- Payment information: card payments are processed by Square — we do not receive or store your full card number. For bank transfers we see the payment reference and amount.
- Support messages: the content of emails or contact-form messages you send us.
- Technical data: essential cookies and your IP address, used to keep the site working securely (see our Cookie Notice).
3. How and why we use it (lawful bases)
- To fulfil your order — process payment, deliver downloads/prints, and provide support (lawful basis: performance of a contract).
- To run our business securely — prevent fraud, keep records, improve the site (lawful basis: legitimate interests).
- To meet legal duties — for example keeping sales and tax records (lawful basis: legal obligation).
- Marketing — we will only send marketing emails if you have asked us to; you can opt out at any time (lawful basis: consent).
4. Who we share it with
We share data only as needed to run the service, with providers who act on our behalf:
- Square — card payment processing.
- Our website and email host (20i) — hosting and email delivery.
- Royal Mail / couriers — to deliver prints.
- Our accountant / HMRC — where required for tax and accounting.
We do not sell your personal data to anyone.
5. International transfers
Some providers (for example Square) may process data outside the UK. Where they do, appropriate safeguards (such as UK-approved contractual clauses or adequacy decisions) are in place to protect your data.
6. How long we keep it
We keep order and transaction records for as long as needed to provide the service and to meet legal/tax requirements (generally six years). Support correspondence is kept only as long as needed to help you.
7. Your rights
You have the right to access your data; to have it corrected or erased; to restrict or object to its use; and to data portability. To exercise any right, email shop@nicolacaptures.co.uk. We will respond within one month.
8. Keeping your data safe
We use appropriate measures to protect your data, including encrypted connections (HTTPS), secure password storage, and restricting access to your information.

If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first, so please contact us.
